CUSTOMER POLICY

Thank-you for choosing Flex Fitness. We are here to assist you in achieving your personal best.

We are a training studio/gym and training times are limited. In order to provide you and others with our full attention while you are training please review our policies below before scheduling an appointment. By booking sessions or classes at Flex Fitness you are accepting the terms and conditions of our policies.

We really appreciate your business and hope you have a positive experience with us. If you have any questions or concerns, please feel free to call Alistair at 204-997-1330.


FIRST SESSION

Please arrive 5 minutes early for your session if it’s your first time. This will give you plenty of time to show you around and fill out any necessary forms.  Arriving late will rob you of training time as each session will be finished on time as a courtesy to the next client.


 ARRIVING LATE

We are sympathetic that sometimes being late is outside of your control. We promise to always do our very best to give you the best training session possible in the time remaining. Each session will be finished on time to accommodate the next client. Arriving too late to work out will result in full charges without the opportunity to reschedule.


 CANCELLATIONS

Our cancellation policy keeps you accountable and ensures that you stay committed to your fitness program. To most people, exercise is a ‘chore’. It is easy to skip a workout if you’re feeling a bit tired, stressed at work, or need to take care of some things at home.

However, when clients know they will be charged for a session if they don’t show up, it encourages them to make their health and fitness a priority. This policy helps decrease no-shows, missed workouts, and short-notice cancellations. Staying consistent ensures you meet your fitness goals.


CANCELLING AN APPOINTMENT

Sometimes you just need to cancel. If you need to cancel your appointment please call us at 204-997-1330 at least 24 hours in advance. Since we turn away other clients to hold your session any cancellations with less than 24 hours notice (or no-shows) will result in full charge to be paid before your next session.


CANCEL OR PAUSE YOUR MEMBERSHIP

When decide to pause, take a short one month break or less from your training routine at Flex Fitness, we require a courtesy text two weeks in advance from the start date of your request. If you are wanting to cancel your membership all together, we require clients to fill out a form and submit it directly to us prior to your final session. Please fill out our Cancellation Questionnaire and let us know if you have any questions or concerns.


APPOINTMENT REMINDER BY EMAIL AND/OR TEXT MESSAGE

Please let us know if you need help remembering your appointment. We now offer appointment reminders by email 48 hours in advance.


CANCELING WITH LESS THAN 24 HOURS NOTICE

Missed or forgotten appointments cannot be cancelled or rescheduled. If you missed your appointment, you will be charged the full price of your session.


 EMERGENCIES

Stuff happens. If there is a special situation and you must deal with an emergency please call us immediately so that we can try to accommodate you.


WORKOUT SESSION AND TRAINING CLASS PACKAGES

All sessions and classes are sold as prepaid packages. Clients purchase one month’s worth of sessions or classes in advance. Each time you workout a session is deducted from your package. Packages can be paid for by credit card through your GymMaster Member account after entering your billing information, and selecting your outstanding charges.


WORKOUT SESSION AND TRAINING CLASS RENEWALS

All package renewals are due no less than 48 hours prior to your next appointment for the new fitness package. Your appointment won’t be confirmed until payment has been received. There is a $25 fee for late renewals(minimum 48 prior to first appointment),and if clients need other arrangements made, they will need to contact us directly. Packages can be paid for by credit card through your GymMaster Member account after entering your billing information, and selecting your outstanding charges.


WORKOUT SESSION PACKAGE EXPIRY

As of April 1, 2023 all memberships will have a one week grace period on their package length before it expires. For example: If you buy four sessions with a four week term, they are valid 5 weeks before the package expires.

Packages of 3 months or more will have a two week grace period before the package expired.

In either case, if you need extra time, you must contact us before the end of this period, and we will pause your membership for up to a four additional weeks.


REFUND POLICY

Manitoba law dictates that refunds are not mandatory and is left to the discretion of the business owner. We do not give refunds but the services you purchase will be put on your account for future use or can be transferred to a person of your choosing.


PROCESSING FEE

As of January 1st, 2023 we have implemented a 3% service fee for credit card payments at Flex Fitness.


THE ONLY BAD WORKOUT IS THE ONE THAT DIDN’T HAPPEN
